Key performance areas and main responsibilities

Content Creation and Distribution: Develop and distribute publications, press releases, website content, photographs, videos, partnership marketing resources/materials, other strategic and targeted communications as required to communicate SOS Kenya’s mission and impact in liaison with facility heads.
Social Media Management: Maintain social media platforms (Facebook, LinkedIn and Twitter) for the MA; by proactively manage the generation and posting of content on the sites to increase visibility and foster positive engagement; Design and implement strategies to increase the number of followers at each site and website management.
Media Relations: Serve as the main point of contact for media, organize interviews, and maintain strong relationships with journalists to enhance SOS Children’s Villages in Kenya’s public profile.
Storytelling and Documentation: Collect and document success stories, best practices, and impact stories from the field to share with donors and external audiences.
 Strategic Communications: Develop and implement internal and external brand and communication strategies that align with the organization’s mission and audience needs as well as align it to progressive changes if any.
Brand Management: Ensure all communications materials are aligned with SOS Children’s Villages’ brand guidelines and donor requirements, maintaining consistency across all platforms.
Program support: Work with programs team on communicating events such as launchings, disseminations workshops, review meetings, field visits by developing the messages, press release and brochures appropriate for each event; •
M&E Support: In collaboration with the program M&E team and technical leads, initiate or accompany field visits to intervention areas to collect quality photos, quotes, and materials suitable for success stories and use in the communications work
Event Planning and Support: Plan and support SOS Children’s Villages in Kenya’s events, preparing communication materials and documenting events through photography and videography for promotional use.

Minimum Qualifications & Experience Required

Degree in Communications, International Relations Journalism, Public Relation or related fields.
Minimum of 5 (five) years relevant experience.
Good understanding of needs of media and public audiences.
Social media skills.
Proficiency in English. Knowledge and Skills
Excellent communications and public speaking skills.
Excellent writing skills and should be able to compose engaging and accurate content/stories.

Strategy

Finance Policies, Procedures and Processes
As custodian of finance policies and processes and standard operating procedures manuals. Maintain a documented system of accounting policies and procedures.
Ensure appropriate risk management techniques and financial controls are embedded throughout the organization at strategic and operational levels.
Develop and implement goals, policies, priorities, and procedures relating to financial management, budget, accounting, and/or payroll.
Establish system controls for new financial systems and develops procedures to improve existing systems.
Ensure compliance with donor grant agreements and policies and provide support during proposal formulation

Fund Management

Work with the senior management team and the trustees to determine the organization’s most sustainable funding structure and participate in fund raising initiatives.
Forecast cash flow positions, related operational needs, and available funds, and ensure that sufficient funds are available to meet ongoing operational and capital investment requirements.
Invest funds in line with approved investment policy.

Budgeting

Lead the budgeting process, ensuring strong processes are in place for resource allocation and performance monitoring at all levels.
With the various senior managers develop departmental budgets, schedule expenditure, analyze variances and take corrective actions to address variances.
Report to management on variances from the established budget, and the reasons for those variances

Financial Analysis

Direct the installation and maintenance of accounting records to show receipts and expenditures
Drive the maintenance of general and subsidiary ledgers, accounts receivable, accounts payable revenue distribution, depreciation, cost, property, and operating expenses.
Supervise and participate in the preparation of various financial statements and reports, including statements and reports of estimated future costs and revenues.
Interpret the organization’s financial results to management and recommend improvement activities
Review bottlenecks and recommend changes to improve the overall level of throughput. 

Audit, Risk & Compliance

Ensures adherence to policies, procedures and statutory guidelines.
Facilitate statutory and internal audits. Coordinate preparation of external audit materials and external financial reporting.
Lead the process and confirm that corrective and preventative actions identified by audit, risk and compliance reviews; investigations or other assessment mechanisms are undertaken within the agreed time frame.

Management of the Finance Function

Mentor and coach staff to build their capacity.
Drive performance to ensure superior levels of performance are maintained. Recognize strong performance and institute corrective action where performance is below par. Proactively manage poor performance.
Fully responsible and accountable for the finance department budget.
Prepare and circulate monthly departmental dashboard reports to relevant stakeholders to facilitate informed and sound decision making. Trends, insights, concerns and recommendations clearly elaborated.
Prepare Board papers as and when required.

Formal Qualifications & Experience Requirements

A Bachelor’s degree in finance or accounting, from a recognized institution of higher learning.
Must be a CPA-K holder and must be a member of ICPAK or other relevant body and in good standing
A Masters level qualification will be an added advantage.
A minimum of 10 years working experience with progressive responsibility for finance in a medium or large organization, preferably in the I NGO sector with at least 5 years in a senior management /leadership position.
A solid understanding of accounting principles, IFRS-(International Financial Reporting Standards) and working knowledge of all statutory legislation and regulations pertaining to finance.

Position Summary:
Reporting to the Program Coordinator, the CDW will facilitate program development, provide overall coordination and strategic direction, forge networks with other stakeholders and monitor, evaluate and report on other sub-projects within the family support program. Management of the Family Support program

 Assist in the development of strategies relating to the program

Facilitate Open communications within the Family Support Team and other departments

 Attend regular department meetings.
 Ensure that up-to-date records for all reports, minutes of meetings, correspondence etc. are properly documented and safely kept.

Facilitate the educational development of children in the target group

 With the assistance of the community representatives develop selection criteria to identify children to besupported for bursary and assist them in the selection.
 Monitor the performance and progress of all the children supported in the program every term and develop progress charts.
 Prepare holiday programme ensuring that sufficient educational and recreational activities are offered to the children.
 Ensure that all the children are ready for school whenever the new term begins by purchasing personal school materials for them well in advance to avoid lateness and delays.

Facilitate and ensure the effectiveness of all the support groups, Community Health Workers and community representatives

 In collaboration with the VCT counselors, conduct group counseling sessions for the support groups and provide emotional support.
 Organize trainings for the support groups and Community Health Workers according to need.
 Facilitate the CHWS and Support groups in their efforts to provide psychological and social support to each other.
 Monitor the progress of support groups through attending their meetings at least once every month.
 Follow up on the activities of the Community Health Workers.
 Provide incentives in form of trainings and material rewards to the Community Health Workers to motivate them

Establish links and develop networks with NGOs, CBOs, donors GOK departments and community

 Identify potential donors, government of Kenya departments and private businesses and establish networks.
 Coordinate activities with partners in areas of mutual interest.
 Maintain good relations with the local and international sponsors through ensuring prompt correspondence and providing regular updates on progress of the programmes.
 Handle and respond to high-level correspondence in consultation with the Project Coordinator and/or his appointee

Data Management and Protection

 At all times ensures that personal data of donors, sponsors, SOS Children’s Villages beneficiaries and their families as well as SOS co-workers is handled confidentially and in accordance with prevailing SOS-Kinderdorf International data protection laws.
 Combine and rearrange data from source documents where required, enter data from source documents into prescribed computer database, files and forms
 Transcribe information into required electronic format, Scan documents into document management systems or databases and store completed documents in designated locations.
 Check completed work for accuracy; maintain logbooks or records of activities and tasks undertaken on/in the databases.
 Respond to requests for information and access relevant files while ensuring compliance with data integrity and security policies

Identify and address areas of improvement based on findings and recommendations of internal and external audit reports.

Fulfils the Transport Needs of the location

Carries out the driving requirements of the project as directed by the Program Administrator, who is responsible for coordinating vehicle use. This includes conveying the project staff to the various places they may need to visit in the course of their work, efficiently and safely.
S/he also drives... the organisation’s vehicles to all assigned places, delivering and picking up mail & other items as directed.
Conducts trips using the shortest possible route. Avoids unnecessary deviations and multiple trips to minimise mileage and time wastage.
Use of SOS Children’s Villages Kenya vehicles for personal trips is strictly prohibited.
Records all trips in the vehicle mileage logbook.

Ensures the Safety of the Staff
