Duties and Responsibilities:

Communication Management


In collaboration with the US Communications Manager, facilitate development and implement strategies, standards, guidelines, and policies for Communications.
Support US Director of Communications in development and implementation of annual management plans, work plans and budgets for Communications.
Support resource mobilization;... giving input to concept notes and proposals writing and participate in all fundraising initiatives.
Maintain an updated database of key stakeholders.
Develop and maintain an updated calendar of corporate events and activities both internal and external that KD participates in and influences its work.
Manage and supervise staff in the department.
Facilitate capacity building of staff on communication, marketing and public relations.
Coordinate participation of KD in strategic partnership and alliances for campaign and advocacy on common grounds with relevant parties and forums.
Assist in tracking of activities and expenditures and regularly advise on cost benefits and sustainability of activities of the unit.
Ensure proper management, use and good stewardship of entrusted resources.


Coordination of Communication Initiatives and Processes


Oversee all internal and external communications of the organization; ensuring messaging is consistent and engaging.
Coordinate the production and distribution of newsletter, publications and general updates.
Continuously update the profile of Kakenya’s Dream by compiling and sharing updates on activities with relevant stakeholders and audiences to build and maintain a positive image of the organization and its work.
Support and coordinate design, production, publication and distribution of corporate, Information Education Communication (IEC), promotional and special projects materials, documentation and documentaries to enhance Kakenya’s Dream’s visibility, image and work.
Capture and produce pictures, audio and video recordings for documentation purposes and for information dissemination to stakeholders and target audiences.
Assist departments in finalization of writing; proofreading, editing and compilation of all external communications materials, correspondence and publications.
Coordinate and manage placement of advertisements in the media.


Support Management of Website and Social Media Platforms


Provide quality production; publications, stories, pictorials, videos, audios among others to be posted on the website.
Advice US Communication team on areas that ensure the website is user friendly and the content is appropriate for its audiences taking local Kenya context into consideration.
Provide input into social media platforms including content, presentation and responses to capture and reflect its mission, vision, values, strategies and work and also ensure relevance to the local Kenya context.
Coordinate drafting, sourcing, editing, harvesting and dissemination of relevant articles, stories, photos and documentation for the website
Assist in management of blogs, photos, features and stories on social media platforms, ensuring they are relevant to the local Kenya context.
Assist in responding to online related queries and issues that are received through official social media platforms.


Manage Public Relations


Manage marketing, branding and visibility initiatives, ensure consistency in identity and messaging and ensure sponsored and supported events and activities have relevant branded materials.
Develop and maintain gainful networks that promote the organization’s work and identify like-minded organizations for partnerships and information sharing.
Identify appropriate forums that will amplify Kakenya’s Dream’s visibility and coordinate the organization’s effective participation.
Manage appropriate responses to requests for information and enquiries about Kakenya’s Dream’s work; programs, activities, operations, clients, stakeholders etc.
Represent the organization at relevant meetings and events.


Manage Media Relationships


Establish and maintain strong working relationships with media houses to promote Kakenya’s Dream’s profile and work, proactively securing media opportunities and ensuring the organization responds as appropriate.
Support Country Director, management and staff to draft speeches, press statement, press releases, opinion pieces, articles and replies for the media, which presents Kakenya’s Dream’s position and/or opinion on its work and issues of interest.
Ensure Kakenya’s Dream uses media and media contacts to promote its visibility at national, regional and international levels.
Manage and provide appropriate responses to media inquiries.


Management of Documentation, Gallery and Library


Manage collection of stories and other communication contents and create gallery and library that capture and tell the stories of Kakenya’s Dream work through photos, videos, audios, photos, videos, audios, graphics, info-graphics, documentaries, publications, reports among others.
Work closely with the program team to ensure stories, experiences, best practices and lessons learned of the organization’s work are chronicled, captured, documented and stored for publicity and archiving.
Develop and maintain a system to capture reports on Kakenya’s Dream’s work and areas of interest that appear in the media and other publications.
Work closely with the MEL unit in documentation, presentation and sharing of Kakenya’s Dream’s case studies, experiences, lessons and best practices to enhance its work and engagement.


Lead in the development and implementation of the Communication Department budget.

Carry out any other duties and responsibilities which may be assigned by the Supervisor from time to time.

Minimum Knowledge, Skills, and Abilities

Education/Academic/Professional Qualification


Bachelor's degree in Communication, Journalism, Public Relations or Media studies.
A master's degree is an added advantage
Post graduate training in marketing, communication and public relations.


Relevant Work Experience


At least five (5) years’ experience in Communication, Journalism, Public Relations or Media studies., preferably in the NGO sector.

Reporting to the Country Manager, the Resource Mobilization Manager will lead efforts in Kenya to cultivate and nurture relationships with funders, prospective funders, partner organizations, and governments. This position plays a critical role, working in partnership with the U.S. development team and the president, to secure between $2.5M-$3M annually and representing the organization in Kenya.... This position is based in Nairobi but it is expected that the individual in this position will travel to the field office located in Transmara West, Narok County, approximately every other month for 2-3 days at a time, to meet and coordinate with the program staff.

Fundraising & Stewardship

In partnership with the U.S. director of development, design and implement a fundraising strategy targeting prospective foundation and corporate donors.

Research, prospecting, and identification of new foundations and corporations that will support the organization and our programs.
Prepare and draft grant applications and reports to funders, and maintain deadlines to meet goals and reporting requirements.
Liaise with the Nairobi Board for introductions to prospective funders.
Meet with prospective funders to cultivate, solicit, and secure their support.


Manage the cultivation process of major donors and other prospects based in Kenya and East Africa, and actively seek opportunities to deepen relationships with funding partners.
Attend fundraising-related meetings with the county manager and/or president to ensure meeting notes are captured and action items are collected and assigned appropriately following meetings/events.
Serve as the primary staff liaison whenever donors, high-level guests, or volunteers come to visit. This includes making logistical arrangements, developing an agenda for the meeting/program, conducting briefings, and coordinating with other staff and teachers as necessary to ensure a successful donor visit. Following the visit, ensure that any relevant feedback or next steps/actions are logged in the appropriate tracking documents and that any follow-up is handled in a timely manner.
With support from the communications and development departments, lead the conceptualization and implementation of a series of events in celebration of the organization’s 15th anniversary (2024).

Operations & Reporting

Liaise with the program team and accounting to develop draft proposals, ensure funding is being spent down according to grant requirements and timeline, and draft comprehensive reports that meet grant requirements while also positioning the organization in the best light.
In collaboration with the U.S. director of development and the accounting team, provide the necessary information to update and maintain development trackers to closely monitor progress on revenue goals.
Assist the U.S. development team in maintaining the development calendar and donor folders with relevant dates for solicitations and applications; correspondence and notes; renewals; and reports.
Work with the U.S. director of development to develop processes that contribute to the department’s efficiency and workflow maintenance.

Stakeholder/Partnership Coordination & Representation

Participate in relevant NGO activities and develop collaborative relationships with like-minded NGOs.
Represent Kakenya’s Dream at appropriate conferences, community forums, meetings, and events where strategic development and relationship building is a priority.
Devise ways to grow Kakenya’s Dream’s presence with new targeted influencers and audiences.
Ensure that written reports, notes, information, learnings, and recommended next steps/actions are shared with the appropriate staff and that any action items are completed in a timely manner.

Government Relations

Lead our organizational advocacy and outreach to the regional and national government officials/offices. Ensuring that we have well established relationships with key officials/offices.

Primary Responsibilities
Data Entry

Ensure that every student that has ever participated in our schools is accounted for in the database and that the class counts align with our Program Dashboard report numbers.
Review each student profile for any missing information and then work with the various program officers and school officials to gather that information and fill it in the appropriate... fields within the database.
Review hard copies of paperwork and hand written records maintained by the program officers to ascertain what data is there and needs to be added to the database.
Populate Apps that don’t currently have data or are missing large quantities of data such as the School App, Incident App, Exam App, etc.

Data Integrity

Work closely with each Program Officer to identify duplicates, determine which record is accurate and then delete the incorrect record.
With the support of the Program Officers, identify possible inaccuracies in the data already in the database and work to correct them.
Clean the data ensuring proper capitalization, consistency and accuracy of spelling especially related to village names and schools.
Regularly create data back-ups to restore data if lost at any point.

Enhancing the database

Recommend new fields, apps, and reports that are needed based on the data that needs to be housed and feedback from the program team.
Build out filters and reports that the program team needs to extract the data from the database.

Financial administration

Responsible for financial record keeping and administration; ensure that all finances are properly administered and monitored in accordance with Kakenya’s Dream (KD) financial regulations and controls
Overseeing the maintenance of the QuickBooks accounting system by ensuring that accounting transactions are posted correctly and timely and... that data is posted and backed up on a daily basis
Liaising with external auditors to ensure regular and annual audits are carried out smoothly
Preparing monthly financial reports for internal and external use on income, expenditure, and any variations from budgets
Preparing and management of budgets
Provide financial support to the project team members i.e: Quarterly funds disbursements
Review all financial documentation including Payment Vouchers, Petty Cash Vouchers, Journal Vouchers, EFT Vouchers and Payroll Voucher

Work closely and oversee the work of the Program Accountant to ensure proper management, tracking, and alignment with KD policies and procedures.
Identify any deviations or errors and work with the Program Accountant and Country Manager to resolve in a timely manner

General administration and tasks

Carrying out, and helping develop where necessary, administrative systems such as records management, operating documents and procedures, etc.
Managing the administrative aspects of human resources for the organization, including updating and maintaining personnel files, tracking leave requests, recruiting new staff, and preparing contracts
Making in-country arrangements for US staff and visitors traveling to Kenya
Organizing team meetings, circulating agendas and taking/circulating minutes
Represent the finance department at the Board of Directors’ quarterly meetings
