We are looking for an experienced, dynamic, reliable, well-organised person with a good team spirit and excellent planning and coordination skills. The candidate should be pro-active, flexible and able to organise the work independently with a strong sense of responsibility. The candidate should be able to adjust to multiple tasks even under tight deadlines. 
A positive... attitude, excellent writing and communication skills, excellent inter-personal skills and a good judgement are also essential as well as a good knowledge of EU financial and contractual procedures. 
The candidate should have at least 2 years’ experience in finance, contract and procurement. Experience in audit or financial/project management in EU Institutions or equivalent in private sector, international organisation or other public administration is an advantage, as well as previous experience in an EU Delegation. An excellent knowledge of English is essential and a good knowledge of French is an asset.
Security clearance: If not already acquired, the selected candidate should request it when taking up function.
The candidate is invited to consider carefully the living conditions and security situation in Kenya. Before taking her/his duties, the selected candidate will have to undertake the Security trainings BASE and SAFE. It will afterwards be recommended that the candidate participates in the Hostile Environment Awareness Training (HEAT).

To provide administrative and operational support to the Administration's Housing and Infrastructure area by giving technical guidance and assistance to the Section management.  Also, to give assistance in handling contracts and procurement related to logistics.

Main tasks:


Procurement of office building and accommodations
Follow up of tender procedures related to logistics and general... backup of the Procurement Officer.
Contract management of all office building, accommodations, security and HoD Residence related contracts
Management and maintenance of office building
Operational initiator in ABAC workflow
Initiating Agent in ABAC Contracts
Rent payments for all accommodations
Support of staff for accommodation files
Establishment and follow up of MoUs
Establishment of invoices relating to MoUs and housing agreements.
Co-location backup.
Coordination and follow-up with relevant official bodies concerning water, electricity and other housing issues.
Back-stopper in handling of the inventory management.
Back-stopper/assisting in setting up of delegation storage facilities.
Security Radios Maintenance and Inventory.
Car fleet management backup
Assisting/giving guidance in office Maintenance accommodations, residence refurbishment, repairs & maintenance & works. 
First line contact person for trouble shooting issues at the Official residence
Coordination with office building management & other lessees.
Any other duties assigned by the HoA or team leader


EDUCATION and experience required


Kenya Certificate of Secondary Education (or equivalent in European education systems of 12 years of schooling)
Diploma in Purchasing and Supplies (Procurement) and/or Administrative/Logistics related courses – is an added advantage
More than 5 years relevant work experience in management of Operations & Logistics and/or Administration and Procurement

The Cooperation Section is in charge of EU-Kenya partnership and cooperation in line with the EU-Kenya Multiannual Indicative Programme 2021-2027. The 30-staff Cooperation Section is divided in four teams: Head of Cooperation Office, Governance, Infrastructure and Green Growth. The Section deals with the implementation of the Global Gateway in Kenya and with the Team Europe approach.
Main... tasks:

Actively contribute to the work of the Cooperation Section as part of the Head of Cooperation Office.
Support the Head of Cooperation Office on cross sector matters such as visitors’ mission panning, briefing papers and speeches, communication activities.
Support the Head of Cooperation Office in some administrative matters, such as note taking, drafting and cross-checking documents etc.
Help in coordinating relations with EU Member States and other stakeholders on cooperation matters.
Occasionally help the sector Heads in the thematic Cooperation sections with support tasks
Fulfilling other duties, as required.
