The Operations Assistant will support the Operations Manager in overseeing the day-to-day operations of our co-working space. This includes assisting with facility management, member services, administrative tasks, and ensuring that the space runs smoothly. The ideal candidate will be detail-oriented, organized, and passionate about providing exceptional service to co-working space members.

Key Responsibilities


Assist with maintaining the cleanliness, safety, and functionality of the co-working space. This includes liaising with service providers and ensuring equipment and utilities are in proper working condition.
Support members by answering queries, helping with bookings, and resolving any issues that may arise during their use of the space. Ensure members have a positive experience.
Manage administrative duties, including scheduling, invoicing, managing emails, filing, and data entry. Help prepare reports, memos, and communication to both internal and external stakeholders.
Assist in the planning and execution of community events, workshops, and networking opportunities within the co-working space. Ensure smooth operations of events and provide on-the-ground support as needed.
Monitor office supplies and equipment levels. Assist with ordering and restocking supplies to ensure the space is fully equipped for members’ needs.
Help the Operations Manager in tracking and managing tasks related to the space’s performance and budget. Prepare and maintain operational reports, assist with administrative operations, and contribute to process improvements.
Assist with on-boarding new members, providing them with a tour of the space, and ensuring they have all the necessary resources to settle in.


Required Skills and Qualifications


Proven experience in office administration, customer service, or operations (experience in co-working space or facility management is a plus).
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to work effectively in a team-oriented environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to multitask and manage competing priorities in a fast-paced environment.

Educational Requirements


OND/HND or bachelor’s degree or equivalent experience in Business Administration, Operations, or a related field.
