The Personal Assistant (PA) to the CEO and Esthetician of a beauty spa plays a dual role, providing administrative support to the Chief Executive Officer (CEO) while also assisting the esthetician with various tasks related to client care and treatment administration. This position requires excellent organizational skills, flexibility, and a strong understanding of both administrative duties and esthetician procedures.

Qualifications:

Manage the CEO’s calendar, scheduling appointments, meetings, and events, and coordinating with internal and external stakeholders.
Handle communication on behalf of the CEO, including screening calls, responding to emails, and drafting correspondence.
Assist with travel arrangements, including booking flights, hotels, and transportation for business trips and conferences.
Prepare materials for meetings attended by the CEO, including agendas, presentations, and briefing documents.
Support the CEO’s scheduled treatments by:
Assisting the CEO with client appointments, including greeting clients, escorting them to treatment rooms, and preparing treatment areas.
Maintaining cleanliness and organization in treatment rooms, ensuring all equipment and supplies are sanitized and stocked.
Preparing clients for treatments by explaining procedures, answering questions, and ensuring their comfort and satisfaction.
Assisting with treatment procedures as needed, including applying skincare products, performing basic skin care assessments, and assisting with equipment operation.
Provide post-treatment care instructions to clients and follow up on their satisfaction and feedback.
Handle general administrative roles and social media for both the CEO and the company, including managing schedules, organizing files, processing paperwork and social media marketing.
Work in shifts with the receptionist.
Stay updated on industry trends, best practices, and emerging technologies relevant to spa clinic operations.
Handle sensitive information with discretion and confidentiality, maintaining professionalism and integrity in all interactions.
Uphold the spa’s standards of customer service, cleanliness, and professionalism at all times.
Represent the CEO and esthetician in a professional manner, both in-person and in written communication.
Previous experience as a personal assistant or administrative assistant, preferably in a beauty spa or healthcare setting.
Knowledge of esthetician procedures, skincare products, and spa treatments is preferred.
Experience in social media management is required.
Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
Strong communication skills, both verbal and written, with a professional and friendly demeanor.
Proficiency in computer applications, including Microsoft Office Suite and scheduling software.
Flexibility and adaptability to accommodate changing priorities and client needs.
Exceptional interpersonal skills.
Certification or training as an esthetician is a plus but not required.
