Position Summary:
The Human Resources Associate will support the administrative functions of the human resources department. With reporting line to the Human Resources Manager, She/he will perform activities in recruitment, hiring, onboarding/off-boarding, benefits and welfare administration. The HR Associate will interact with all staff throughout the organization and closely liaise with various projects, finance and operations teams in ensuring effective HR support and deliverables.
Responsibilities:
Provides administrative support by preparing jobs for adverts, longlisting applicants, scheduling/facilitating interviews, vetting candidates through reference checks, drafting contracts, providing regular correspondence, processing confidential documents, including filing in electronic and hard copy
Support with employee onboarding/off-boarding processes
Maintains staff files and ensures they are kept up-to-date in accordance with the HR filing checklist.
Maintains strict confidentiality for all staff (employees, consultants, Interns, Volunteers)
Manage sensitive and confidential matters like protecting staff information, data and files
Collaborates with the Human Resources Manager to ensure compliance for all personnel engagements and contracts.
Assist with staff health and welfare administration through notifications for enrolments or termination, reviewing invoices, payment request from service providers (i.e. HMO, Group Life & Accident Cover) and ensuring accurate/ updated records
Good understanding of the organization policies and procedures; especially when required to respond to general concerns or issues raised by staff
Contributes to team efforts, willing to learn and take up additional task when required
Education and Experience:
University degree in Business Administration, Management or related field.
2 years direct HR work experience preferred
Exposure to payroll and tax practices
knowledge of recruitment process, onboarding process and welfare administration
Understanding of HR functions and best practices.
Knowledge of the local labour laws
Organization and People management skills.
Ability to manage work pressure and deliverables within project deadlines
Experience with using Microsoft Office Suites and Google for emails and virtual meetings
Work experience with international donor funded projects preferred

Ability to be proactive and work with a team
Ability to work under directives and with minimum supervision
Ability to deal in an organized manner with problems involving multiple variables within the scope of the position.
Ability to recognize, evaluate, solve problems, and correct errors
Ability to communicate effectively in writing, over the telephone and in person
