Project Brief:
The Support to the Transformation of TVET in Ghana project aims to support the reforms of Technical and Vocational Education and Training (TVET) in Ghana in collaboration with the Ministry of Education, the Commission for TVET, the TVET Service, TVET Institutions and other private and public sector stakeholders. It is commissioned by the German Federal Ministry of Economic Cooperation and Development (BMZ).
Scope of Role:
You will be responsible for ensuring that all processes comply with GIZ standards and procedures while maintaining an efficient and well-organized office environment. Key duties include managing documentation, coordinating logistics, and overseeing event and workshop organization.
Tasks:
• Coordinate and manage key administrative and procurement processes. • Manage the project inventory in WINPACCS as well as maintain a comprehensive filing system of inventory files. • Organization of administrative and logistical aspects of events such as meetings and workshops, Conferences, tickets, transport, hotel according to GIZ’s rules and regulations. • Plan, organize and coordinate all daily schedules and appointments on behalf of the team. • Preparation of documentation for Contracts, services, or purchases. • Coordination of domestic and international travel (responsible for travel requests, travel settlements and claims of the projects). • Coordination and management of administrative processes. • Preparation of documentation for Contracts, services, or purchases. • Procurement of items in accordance with GIZ rules. • Manage all incoming and outgoing correspondence (post, email) • Handle all the office equipment/stationary purchases and ensures its maintenance. • Ensuring the Services in the Office are provided correctly with GIZ procedures. • Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description
Qualification Required & Experience
• University degree in administration, social science, or a similar area. • Initial professional experience in this area. • Strong organizational and writing skills. • Experience in office management and administrative tasks. • Good interpersonal, management, and communication skills. • Strong command of English language (both written and oral) is required. • Proficiency in MS Office Suite. • Ability to multitask and work under pressure.
